New User Onboarding
At the time of writing (01/03/2026), our user infrastructure is separate to that of LJMU. Therefore, users needing access to our services will need to be created in advance. Once integrated with the university's identity provider, we will be able to make use of just in time provisioning, and this documentation will no longer be necessary for user accounts.
Creating New Users
Only administrative users have permission to create new user accounts.
New users must be created in Authentik and assigned to the appropriate group:
- LJMU SE Team Members - For standard users
- LJMU SE Team Admins - For administrative users
Steps to Create a New User
- Log in to Authentik as an administrator
- Navigate to Directory → Users
- Click the Create button
- Fill in the user details:
- Username
- Name
- Email address (required for password reset)
- Click Create
- Add the user to a group:
- Open the newly created user
- Go to the Groups tab
- Click Add to existing group
- Select either LJMU SE Team Members or LJMU SE Team Admins
- Click Add
- Send password reset email:
- In the user's details page, go to the Actions section
- Click the Email recovery link button
- The user will receive an email with instructions to set their password
Once the user has been created, their account information will be gradually provisioned into the various services that we provide. All applications the user should have access to will be made available within 24 hours, with some services, such as GitLab, being available instantly.
